Q-Club Registration - Summer 2024

Campers
Introduction
Q-Club is a certified summer day camp, regulated by the NYS Department of Health. The Q-Club program offers children ages 5-12 a chance to participate in a variety of passive and active recreational activities. The program is run by a highly skilled, well trained staff of directors, group leaders, and counselors. All counselors must be at least 16 years of age and have experience in supervision of children. Many of our staff members are enrolled in higher education programs in the pursuit of careers in education and child care. Several of our counselors are returning for multiple years of service. Some were even past Q-Club participants! All Q-Club staff members are American Red Cross certified in First Aid, CPR, and AED. 

General Information

Ages: Open to children ages 5-12. Child MUST be turning 6 years of age ON OR BEFORE December 1st (of the current year), in order to participate. 
Program Dates: Monday, July 1 - Friday, August 16, 2024 (No Program 7/4 & 7/5/2024)
Times/Days: 9:00 am - 12:30 pm (Children dropped off earlier than 9:00 am WILL NOT be supervised by Q-Club Staff).
Location: Queensbury WHBI School (Aviation Rd., Queensbury)

Registration Dates & Rates 
April 1-30, 2024: Resident Only Registration

May 1-31, 2024: Non-Resident Registration
June 1, 2024 and beyond: Late Registration (An additional $100. will be charged per child beginning June 1).

Residents: $350 first child, $275 each additional child in the same household, up to $900 per household.

Non-Residents: $375 first child, $300 each additional child in the same household, up to $975 per household.

Registration Process
Returning campers:
March 1, 2024 - All returning campers will receive a renewal email from ePACT:

pdate contact, pick-up, emergency, and medical information

pload new immunization record(s) in the “2024 immunization record” slot (immunization record must be uploaded and/or time-stamped within 1 calendar year of camp dates; if your camper has an upcoming appointment prior to the start of camp, please upload the most up-to-date records, then update them after the appointment)/

pload any Patient Specific Orders for epi-pens/inhalers. 

Once your records are updated and received, you will receive a confirmation, "Success!" email from ePACT and we will call you if there are any problems with your information.  If you do not receive this email from ePACT, we did not receive your records.

April 1, 2024 - Queensbury resident campers (both returning and new) with up-to-date ePACT records will be begin being registered for Q-Club 2024 in the order that your ePACT records were received. You will be emailed your invoice to be paid by April 30th. Registration will not be official until the invoice is paid. If your invoice is unpaid on April 30th, you will lose your reserved spot and will have to contact the department to request registration again.

May 1, 2024 - Non-resident
campers (both returning and new) with up-to-date date ePACT records will be begin being registered for Q-Club 2024 in the order that your ePACT records were received.  You will be emailed your invoice to be paid by May 31st. Registration will not be official until the invoice is paid. If your invoice is unpaid on May 31st, you will lose your reserved spot and will have to contact the department to request registration again.


Returning campers applying for a spot after April 1st  (resident) / May 1st (non-resident) will be served on a first come, first served basis. If no camper spots remain for the summer, interested campers will be added to a waitlist once their ePACT records are complete.


Note on siblings: All siblings will be registered together based on the first sibling in the records received order.


Note on scholarships: A set number of spots will be reserved for campers who receive scholarships; campers will not be considered for a scholarship until their ePACT records are complete. 


New campers:

Interested campers can start their registration application by emailing the following information to summerrec@queensbury.net:

A response email will be sent with one of two replies:

1. Instructions to set up your household account on our registration platform, MyRec, or
2. If your household account already exists, an invitation link for ePACT (our secure, record database) to begin inputting your camper’s emergency contact, medical information, and immunization records (immunization record must be uploaded and/or timestamped within 1 calendar year of camp dates; if your camper has an upcoming appointment prior to the strt of camp, please upload the most up-to-date records, then update them after the appointment). Once your records are updated and received, you will receive a confirmation email from ePACT and will be contacted by Queensbury Parks and Recreation if there are any problems with your information.
